CCAS Print Management Project

Overview

Implemented in Fall 2016, the CCAS Print Management project standardized a college-wide lease of new Canon copiers along with a print management tool to provide added convenience for CCAS Departments. This new centralized copier replacement program replaced the current operating model where departments work directly with copier vendors (Xerox, Canon, or Ricoh) to enter into lease agreements and meet with sales representatives. Instead, CCAS is leveraging its size to achieve economies of scale, providing new high-end copier options to departments at less than their current cost. In addition to new copier hardware, CCAS also implemented PaperCut print management tool. This allows users to print from their personal and university-owned Windows, Linux, and Mac machines securely and easily. Print jobs can be released at the copier using your GWorld Card to tap and print. Other features include a single print driver installation on your workstation and a reduction in the environmental impact associated with copiers.

Three models of Canon imageRunner Multifunction devices were selected: 

  • Canon imageRunner Advance 4245 (B&W Copier) - 45 pages per minute
  • Canon imageRunner Advance C5560i (B&W & Color) - 60 pages per minute
  • Canon imageRunner Advance 6575 (B&W Copier) - 75 pages per minute

Documentation

With the introduction of the new copiers, all users are now required to be registered to use the printer. Registration can be submitted through the department administrative staff. Department staff will need your First Name, Last Name, GW E-Mail Address, and GWID (GXXXXXXXX) in order to complete this request. In return, your GWorld Card will be assigned to your CCAS Cloud Account. If you do not have a CCAS Cloud Account, an account will be created for you and an e-mail will be sent with your credentials. 

To use the copiers, you will need your GWorld Card and a CCAS Cloud Account. Your CCAS Cloud account will be used to submit all print jobs, while your GWorld Card will be used to release and print your jobs at the Canon copier machine. 

The Follow Me Print Queue has been deployed to all University-owned, CCAS managed Windows and Mac clients. The following documentation is for personally owned workstations and devices:

Before installing, ensure that you have claimed your CCAS Cloud account and set your password. To do so, use your default username and password (emailed to you) and log into access.ccas.gwu.edu. After logging in and setting your password, you can logout and proceed to the appropriate documentation below.
